Experimental Reports

For each experiment conducted at the MLZ, a report has to be written und submitted to the User Office Online System within two months after the experiment’s end.

Publications and acknowledgements

The MLZ provides free beam time for scientific use at its instruments – under the condition that results are published in a peer reviewed journal or an equivalent paper, naming the MLZ.

Travel cost reimbursement

At the MLZ, two groups of users can get financial support:

After the NMI3-project ended on January 31st, 2016, the partners at MLZ support both groups. The conditions differ a little bit, so please read the following carefully.

I am working in an EU country or an associated state.

EU-Users: What is required from the proposal?
To be eligible for this financial support, the proposal has to meet two requirements:
  • the main proposer as well as the majority of the whole proposers’ group (= “main proposer” + “co-proposers”) mustn’t be from German institutions,
  • the main proposer as well as the majority of the whole proposers’ group (= “main proposer” + “co-proposers”) have to be from an EU country or an associated state.
  • the affiliations in the submitted proposal are valid. Changing them afterwards is not possible.

Please note: The users’ nationality results from the institution they are working at (not their personal national status).

EU-Users: What conditions have to be fulfilled?
Regarding all publications using results from experiments at the MLZ:
  • Please take care to give proper acknowledgements in all you publications. Templates can be found in our Terms of Reference. Please don’t forget to mention the supporting partner, too.
Regarding the supported person:
  • that person has to work in an EU country or an associated state
  • only hotel bookings done by the User Office will be reimbursed completely. In case you want to book a hotel room by yourself, please discuss this with the User Office well in advance – otherwise the reimbursement of the whole amount can not be guaranteed. Please ask for a written consent. The reimbursement is not possible without this consent.
  • A journey by car will only be reimbursed in exceptional cases – please explain it in your visit application. The reimbursement is not possible without this consent of the User Office.
EU-Users: How many persons will be supported?

Until the next EU-project will maybe start, the MLZ partners are bridging the gap. Due to a limited budget and keen to support as many projects as possible, only one person per experiment will get a reimbursement. In case the experiment is carried out by more than one person, it is the group’s decision which persons shall be supported. That person has to fulfill the conditions mentioned above.

Exception: Highlight-Proposals
Each proposal round, a few so-called “Highlight-Proposals” are selected and praised by the international MLZ reviw panel due to their special scientific quality. The main proposers are informed about this by letter.

For experiments basing on those Highlight-Proposals, two persons will get the reimbursement. In case the experiment is carried out by more than two persons, it is the group’s decision which two persons shall be supported. Those two persons have to fulfill the conditions mentioned above.

EU-Users: What will be supported?
The financial support covers the period of the experiment and in addition a maximum of one day before and after the scheduled experiment. The travel costs for one person (Highlight-Proposals: two persons per experiment) will be reimbursed. These are for example:
  • Arrival and departure by plane/ train (class 2) – for journeys by car see “Conditions” above!
  • Use of public transportation (for arrival and departure as well as for trips between your hotel and the MLZ during your stay) – please note: Isar-Cards will not be reimbursed; daytickets Munich XXL only in exceptional cases!
  • Costs for accommodation – for hotel booking see “Conditions” above!
  • Cost of food can’t be reimbursed.
EU-Users: How can I ask for support?

Good news: You don’t have to do anything! Just apply for the visit via GhOST.

You will be advised whether your visit will be supported or not via your visit list in GhOST as soon as the User Office checked your eligibility. You can also see which partner will support you – you need to know this for the proper acknowledgement afterwards.

Please note: In case several persons apply for the same experiment, the User Office will grant suppport to all of them – it will be the group’s decision which person shall be supported. That person has to fulfill the conditions mentioned above.

EU-Users: How do I submit my travel costs?

Please advance all costs. Unfortunately, it is not possible to get an advance payment from MLZ.

After your visit at MLZ and within the next 5 months, please send in the following receipts by normal post:
  • the original hotel bill (in case you are supported by JCNS FOR EU: please note that the invoice has to be issued in one of the following formats:

  • when supported by JCNS FOR EU: the completed JCNS claim form. You have to fetch it from the User Office during your stay here because it is a personalised form.

I am working at a German university.

Users working at German universities can apply for financial support granted by the MLZ partners, too.

Users from German universities: What is required from the proposal?
In order to get financial support for the visit at the MLZ the following requirements have to be fulfilled:
  • the visit takes place in the scope of an approved external proposal
  • the proposal does not meet the requirements for eligible EU-proposals (see above)
